Recruitment Guidelines

 

 

Every woman going through the recruitment process is responsible for knowing and observing the Recruitment guidelines.  These guidelines are intended to ensure the best possible experience for all members of the Transylvania sorority community

 

Eligibility

 

All women, who are regular, full-time non-affiliated students at Transylvania are eligible to participate in Fall Formal Recruitment.  A potential new member may not be or ever have been an initiated member of another NPC group.  A woman is ineligible for Formal Recruitment if she has been a new member of an NPC fraternity on Transy’s campus within the same calendar year.

 

 

Grade Requirements

 

The Panhellenic Association does not set specific grade requirements to participate in the recruitment process, however individual chapters have established their own requirements.  Many chapters follow guidelines set by their national organizations when determining grade cut-offs.  Potential new members who do not meet a chapter’s academic requirements are released early in the Recruitment process to allow them to explore their options.

 

Transylvania University does require that all new members have a 2.0 grade point average to initiate, however several chapters have established their own higher minimum GPA for initiation.

 

Registration

 

A potential new member is required to register for Fall Formal Recruitment no later than 12 noon on Thursday, September 14  by completing the on-line registration form. The women’s registration fee is $35.00 until the Orientation event on Wednesday, September 13.  The fee covers expenses such as administrative costs, philanthropy supplies, Recruitment Team training, housing and materials.  Women registering after Wednesday, September 13, will need to pay an additional $5.00 later registration fee.  The registration fee is non-refundable.

 

Attendance and Invitations

  • The Panhellenic Association has a mandatory acceptance policy, which means that potential new members are required to accept all invitations up the maximum number of Recruitment events in a given round.  In the event of illness of emergency, a potential new member shall notify Panhellenic and/or her Recruitment guide (Rho Gamma) if she is unable to attend an event.

  • A potential new member shall consult her Rho Gamma before withdrawing from Formal Recruitment.  In the event that a potential new member decides to withdraw, she must file an official withdrawal form with Panhellenic.

  • Attendance at all of the events is expected for women going through recruitment at Transylvania.  Under special circumstances such as University-related events or varsity athletic activities or illness, the Panhellenic Council can allow excused absences.  Potential new members should understand that their attendance is a vital part of meeting the women of our chapters and that an unexcused absence may affect the outcome of her recruitment experience.  A woman with unexcused absences may also be asked by Panhellenic to remove herself from the Recruitment process.

Potential New Member Contact

  • The use of alcoholic beverages by potential new member (and sorority members) is strictly prohibited during the period of formal recruitment and Bid Day activities.  Women failing to comply with this rule may be removed from the recruitment process.

  • Potential new members may have no pre-recruitment interaction with any undergraduate or alumna sorority member.  Pre-recruiting is defined as any communication about any specific chapter(s).  All Recruitment information should come from Panhellenic.

  • Potential new members are not permitted in sorority chapter rooms from the day she moves in until the conclusion of women's Bid Day.

  • Potential new members are not permitted on sorority halls from Thursday, September 14 until the conclusion of Formal Recruitment except during designated Recruitment events.

  • Potential new members may not visit Davis Hall from the beginning of Formal Recruitment on September 14, 2006 until September 18, 2006.

  • No sorority member may buy anything for a potential new member, nor may a potential new member reciprocate the action of any sorority member.

  • A potential new member shall not give a promise, oral or written, to join a certain sorority before formal bids are issued through Panhellenic.  Sorority members shall also not make promissory comments or indicate in any way to a potential new member that she will be given an invitation to a party of for membership.

  • Strict silence is the period in which there will be NO conversation or contact with potential new members by sorority women or alumnae.  Strict silence will begin on Saturday, September 16  after the end of the final preference event and will last until Sunday, September 17, following shirting.

  • Prior to strict silence, NPC believes that normal social contacts should NOT be disrupted by prohibiting all contact between sorority women and potential new members.

  • Potential new members may not wear or promote fraternity items until the end of Men’s Recruitment.

 

Bidding

 

The preferential bidding system shall be used during Fall Formal Recruitment.  A potential new member shall fill out a Membership Recruitment Acceptance Card immediately after the last Preference event she attends.  Once a card has been signed, no changes may be made.  In signing a Membership Recruitment Acceptance card, a potential new member is making a binding agreement that she will accept a bid from those sororities listed in order of preference on her card.  Should a woman refuse to join a sorority she has preferred, she will be unable to join another NPC sorority at Transylvania for one calendar year.
